Job Summary
To Assist the Director or Manager, Learning and Development with the support and co-ordination of all administrative related issues in the department.
Key Duties and Responsibilities
Maintain records, filing systems and computer files
Attend meetings in order to record minutes.
Work and coordinate closely with departmental training coordinator on training arrangement and administration matters.
Coordinate and direct office services, such as records and budget preparation and housekeeping, in order to assist the managers.
Prepare Purchase Requests for all of the team’s requirements, such as stationery and other equipment for the department.
Manage and maintain manager’s schedules.
Manage and maintain training room schedules.
Prepare expense reports for the Learning and Development Department and follow up to ensure payment received.
Assist with copying and filing of documents.
Assist with the preparation of training handouts, training support material other training related matters.
Greet visitors on arrival at offices.
Open, sort, and distribute incoming correspondence, including faxes and email.
Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software.
Assist with planning special events.
Assist with the administration of the Training module on HRMS
Assist with all related administration issues.
Any and all other duties as may be assigned by the Director or Manager, Learning and Development.
